When this policy applies
This page covers information used on the proNode website and in its company workspaces. It applies when you create an account, represent a company, take part in a project, send a message or contact us. Your company controls the people and permissions in its workspace. A project’s access settings determine which participants can see its shared information.
Information used by the service
Account information includes your name, email address, profile image, job title and preferences. Company information includes its name, logo, website, description and service profile. Project work can include briefs, drawings, requirements, proposals, prices, messages and files. The service also uses access, notification, presence and business-activity records to support collaboration and protect accounts.
Why information is used
We use this information to provide your account and company workspace, show relevant projects, deliver messages and notifications, manage permissions and preserve project decisions. Account information supports email verification, password recovery and account protection. When you send an enquiry, we use the details you provide to understand the request and respond to you.
Files and private conversations
Files follow the access rules of the project, proposal or conversation where they are used. Permission is checked when a file is opened; knowing its link is not enough. Team Messenger is separate from supplier conversations. Members of a private group can read its earlier history, including messages sent before they joined. Leaving the group removes that access unless the person is added again.
Your settings and choices
You can update your profile and preferences, choose notification categories and email frequency, review account sessions and use two-factor authentication. Company administrators manage memberships, roles and project access. Use the account and company data controls to request an export or start a closure request. If information needs correcting or you have a question about its use, contact us with the account or company concerned.
Project history and account closure
Submitted proposals, shared brief versions and procurement outcomes form a business record. Removing a message from the ordinary conversation view does not necessarily erase the associated protected history. Leaving a company or closing an account also does not erase records that other participants rely on. Before closing a workspace, review its active projects, ownership and export needs with the people responsible for the company.
